NOTICE: VIOLATION OF ANY OF THE LISTED TEN COMMANDMENTS OF RECRUITING MAY RESULT IN THE IMMEDIATE AND PERMANENT TERMINATION OF YOUR CONTRACT WITHOUT NOTICE, COMPENSATION, OR REFUND.
1. Put nothing in writing to the Driver that could get you in trouble (quoting exact pay etc).
2. Always properly pre-qualify & present the jobs and the Carriers.
3. Only submit complete applications every time, and NEVER sign releases for drivers!
4. Don’t Spam applications (submitting the same driver for multiple carriers at the same time).
5. The CUSTOMER (Driver and Carrier) is always right.
6. Always search out the answer yourself before asking, we don’t want you to lose a driver because you’re waiting on an answer from us.
7. Any theft, misuse, or fraudulent activity involving of any of the data or information owned, provided by, or obtained in the service of IMC, LLC and its subsidiaries, will be prosecuted to the fullest extent of the law, and will result in the immediate and permanent termination of your contract.
8. Do not try to claim a driver contact as your own unless and until you have made contact with that driver and at a minimum, completed a Pre-Screening Questionnaire. Until a completed Pre-Screening is on file, that driver is considered Unclaimed.
9. Do not try to steal or reassign driver contact ownership or application ownership from another recruiter. We have multiple ways to tell if and when a status is changed and by whom. It’s a game you cannot win, and one that will result in immediate and permanent termination of your contract.
10. Remember that you are representing IMC Professional Driver Services when you’re dealing with drivers, carriers, or other recruiters. Always conduct yourself in a courteous and professional manner. If we receive too many complaints from drivers or carriers, your contract will be immediately and permanently terminated.
BULLETIN BOARD:
NOTE: If you use the Intelius service to help gather information about your applicants, be aware that those reports are not FCRA compliant and should not be used exclusively to disqualify any applicant. A phone call must still be made to the driver in order to:
1. Allow for a positive ID to make sure you ran the report on the right person
2. Provide the driver an opportunity to offer any clarifications regarding their record
3. Obtain referrals to other qualified drivers (offering a referral fee per hire helps!)
4. Send the Intelli-app link to get their information on file
NOTE: All drivers are checked against the Driver Record Repository prior to being imported into HubSpot, and any pertinent information is added to the notes on the driver’s profile page at that time. Information in the Driver Record Repository may be reflected in the driver’s status. That said, the repository is continually updated with new information daily, so it never hurts to check again before calling the driver.
REMINDERS:
– BEFORE TAKING OWNERSHIP OF A HUBSPOT CONTACT, BE SURE TO GO TO YOUR EMAIL AND DOWNLOAD THE PDF OF YOUR DRIVER’S PRE-SCREENING, THEN ATTACH IT TO THEIR HUBSPOT PROFILE!
– DO NOT SEND EMAILS DIRECTLY FROM HUBSPOT, AS THIS WILL AUTOMATICALLY SET YOU AS THE OWNER OF ANY DRIVERS EMAILED. FOR THIS REASON ALL EMAILS SHOULD BE SENT DIRECTLY FROM YOUR IMCPDS EMAIL ACCOUNT!!!
5/18/26 – Trainee positions on all SWIFT INTERMODAL ACCOUNTS are on hold until further notice.
5/18/26 – NATIONAL CARRIERS next available orientation for TRAINEES is 6/8/2026, and they still are not accepting any applicants with a criminal history until further notice. Students/Trainees MUST have graduated in the past 6 months with no carrier in between graduation and applying to NCI. If the Driver is sitting and not driving for 12 months, they should be submitted to Swift instead. National is still offering a $3,000 sign on bonus for EXPERIENCED DRIVERS ONLY!
2/16/26 – Reminder: We are not allowed to send out the Swift Sell Sheets (job info sheets) to Drivers. The Info on the sheets is for the Recruiter Only, we are NOT allowed to download those Sell Sheets and send to the Drivers. (This goes for all carriers. Do not download and send the carrier spreadsheets to drivers. We are not allowed to do so.)
7/30/25 – Introducing the all new IMC Marketing Department, where you can now order up to 2,000 of your own personalized IMC Professional Driver Services business cards, print out posters with tear slips, find ideas of where to use them, and more! You can also find our comprehensive list of job boards and aggregators, complete with information and direct links, and a step by step guide for placing sponsored ads with a landing page on Facebook!
4/15/25 – We have a new and improved, interactive Pre-screening Form! A couple highlights include additional questions that will automatically show up based on answers to previous questions when more information is needed, and tells you at the end of the form whether or not the driver is a good candidate based on responses (doesn’t have 3 strikes), and when you submit the form you will receive an email with a PDF of the completed form ready to save and attach to the driver’s HubSpot profile. Printing it out is no longer necessary. And last but not least, the driver’s name is in the subject of the email making it easy for identifying and searching.

CONTACT OWNERSHIP POLICY
CONTACT OWNERSHIP
Any leads that you generate and import into HubSpot will remain exclusively yours and are not subject to the rules that govern IMC provided leads. For driver leads provided by IMC, the first person to talk to a driver, COMPLETE A PRE-SCREENING AND ATTACH IT TO THAT DRIVER’S HUBSPOT PROFILE will take ownership of that contact for 30 days or until the expiration/suspension of their account; whichever comes first. If you do not get the driver a seat within 30 days, or if you go 30 days without making contact with that driver at all, then they become fair game again.
When you do get a driver hired, you’ll retain ownership of that contact automatically for 6 months, since that’s the minimum amount of time we recommend for a driver to keep a seat. Ownership will continue as long as you make contact with the driver at least once every calendar month after that initial six month period has passed. We also recommend following-up with your drivers after 3 months on the job to check in and find out how they feel about the job, whether or not the carriers represent it accurately, and what they like or dislike.
Then check in again at the 6 month mark and at least once each month thereafter to make sure you stay top of mind and to see if they’re ready to make a change again. Contacts owned by sub-recruiters will automatically be transferred to their team leader if/when the sub-recruiter leaves or becomes inactive.
INCOMING CALL ETTIQUETTE
If you answer a call from a driver responding to an ad, you should try to connect that driver to the recruiter who placed the ad. But make sure you do so using the WARM HANDOFF method, where you actually get the other recruiter on the line first to make sure they’re available to take the call. If you CAN’T connect the driver to that recruiter, then you should go ahead and handle the call yourself instead of transferring to voicemail. We’d rather another one of our recruiters help that driver right then, than to have that driver hang up and call another company for help.
When answering an incoming call:
1. Check HubSpot to see if the driver is already in our database and if they’re already working with someone. If so, transfer the driver to their recruiter using the warm handoff method, if possible.
2. If the driver’s not already working with someone, ask if they’re calling about a job ad. If so, ask for the code at the bottom of the ad. If a recruiter placed the ad (there is a dash with initials at the end of the job code), then you can check the Current Ads tab of the Recruiters Book to get the name and extension of the recruiter who placed the ad, and try to transfer the call to that recruiter using a warm handoff. If that recruiter isn’t available, then you take the call.
3. If the driver’s HubSpot profile is un-assigned and they’re not calling about an ad placed by another recruiter, then you go ahead and help the driver yourself.
The simple rule is if the driver is in HubSpot and there’s a pre-screening attached, then transfer the call either way. If there’s no pre-screening or you can’t get the recruiter who placed the ad on the phone, then you go ahead and help the driver now.
AD KICKBACKS
When you place an ad, be sure to list it in the CURRENT ADS section of the Recruiters Book. You’ll want to include a dash with your initials at the end of the JOB CODE and place it at the bottom of your job ads and in the appropriate column of your Recruiters Book ad listing. Then if another recruiter gets a hire from a lead your ad generated, then you’ll receive a 5% kickback on the commission amount for that hire. The kickback is NOT taken out of the hiring recruiter’s commission. All amounts are paid by IMC.
NOTE: ANY HUBSPOT CONTACTS THAT DO NOT HAVE A COMPLETED PRE-SCREENING FORM ATTACHED WILL AUTOMATICALLY BE REVERTED TO NO OWNER AND WILL STILL BE FAIR GAME FOR ALL RECRUITERS. MAKE SURE YOU ARE PRE-SCREENING YOUR DRIVERS AND ATTACHING THE FORMS TO THE DRIVERS’ HUBSPOT PROFILES WHEN CLAIMING OWNERSHIP!!!!
