Application Process
Step 1 – FILL OUT THE INTELLIAPP WITH YOUR DRIVER OVER THE PHONE USING THE FOLLOWING LINK, AND THEN MOVE TO SETTING FOLLOW-UP EXPECTATIONS:

- 10 years of employment history (full 10 year history whether it’s work, school or unemployment)
- Home address history for the past 3 years
- Current driver license number and driver license history for the past 3 years
- History of traffic accidents, violations and/or convictions from the last 5 years (including DUI or reckless driving conviction and license suspension)
- Any military history
- Emergency contact info (name, address, phone#, relationship)
- Complete Trucking School info
MAKE SURE TO:
- Inform the driver that you or a member of the IMC Admin Team may reach out to them to gather additional information as needed, so it’s important that they save our number and be sure to answer their phone when we call.
- Make note of the intelliapp confirmation number when you submit your app so you can add it to the Driver Management notes.
- Verify that the name on the application matches how it appears on the CDL.
- Get copies of CDL (front and back) and if possible get a copy of their long form physical
WHAT IF MY DRIVER WANTS TO DO THE APPLICATION THEMSELVES?
“I have to tell you that the fastest, easiest and best way to get you this job is for me to go ahead and get all the information myself right now so that we can get a complete application packet submitted immediately. This is a competitive position and there are other drivers actively applying, so the sooner we can get it done the better”.
“If you insist on doing the application yourself then I can send you my intelliapp link and I’ll need you to fill that out as completely as you can. The more info you provide up front the faster we can get your application process moving along.
“We’ll definitely need all the info for all your CDL driving jobs including the names and phone numbers of companies, miles and areas driven, types of trucks and trailers, and trailer length for each job.
“Additionally, DSI requires:

SETTING FOLLOW-UP EXPECTATIONS
“In addition to your completed application, we’re also going to need a copy of the front and back of your CDL, medical card and long form physical. The carrier prefers us to include them as part of your application packet in order to help speed up the process. You can send those to my email, ______.
PROVIDE YOUR EMAIL ADDRESS FOR DOCUMENTS
“During the process I will be creating an account for you with Heartland. Once they receive your application I will send you a link along with the login info so you can sign the release forms. It’s important that you get those signed and submitted ASAP so they can start getting your reports together and keep the process running smoothly. Be sure to check your spam folder for any incoming emails. Once you get those knocked out your rep will call you to recap the job description, set up orientation and walk you through the rest of the application and orientation process.”
“Sound good? Ok, so I’ll let you go for now but be sure to save my number so that when I call you back tomorrow with updates or to get more information then you’ll know it’s me and be sure to answer the phone. I’ll keep in touch with you throughout this process to make sure everything happens quickly and smoothly, as well as to answer any additional questions you may have.
“Have a great day, (driver name), and I’ll talk to you again tomorrow/next week.”
Step 2 – Enter your driver into DRIVER MANAGEMENT, and add the following information in the “Notes” section:
- Position Applied For
- Confirmation number on completed application
- Copy of the CDL (back & front)
- Driver’s zip code
Follow Up –
- Your Driver will hear from Heartland within 24 – 48 hours after submitting a complete application.
- Driver Updates will be sent out daily
- Once your Driver is “APPROVED” on the Driver Update, you will contact the driver to let them know they are approved and at that time will give them the in-house recruiter text number (630-538-7689) and instruct the driver to send a text with when they want orientation.
My Driver Is Approved… Now What???
Heartland Express will contact your Driver and take care of scheduling orientation.
Heartland can’t take a Driver that is under contract with another Carrier, but they can if they haven’t completed the contract AND they have to have gone to another carrier for 6-12 months since the contract position.
